Deposit & Payment
In order to secure your date, a deposit of $500 is due upon signing of a function contract. Any cancellations made will result in the loss of the full amount of your deposit, with no other amount left owing.
If an event is postponed more than 60 days prior to the original booked date of the event, the original deposit amount can be applied to the revised date. An event postponed less than 60 days prior to the original booked date of the event will result in a loss of the full amount of the deposit. Note a postponement will be honored one time. If an event has been postponed more than once, a new deposit will be required to secure the date of the event.
Choice of Function Package and Linen colors must be chosen 4 weeks prior to event date.
Projected Guests – Projected numbers of guests are required no less than 2 weeks in advance. The Chef will accommodate no more than a 5% influx in guaranteed numbers.
The balance of the function contract will be due along with final guaranteed attendee numbers 72 hours before the Event to avoid cancellation.
A damage deposit of $500 will be added to the Banquet Event Order and refunded no later than 48 hours after inspection of the hall and facility is complete.
Any additional unexpected charges incurred on the date of event are due no later than 48 hours after the event.
The room rental fee for the event will be waived when accompanied by a qualifying Food & Beverage package. A food and beverage package will qualify based on the number of guests in attendance.
There is a 15% gratuity charge & 5% GST added to every Banquet Event Order.
Weather
In the event of bad weather, The Event will still proceed and the convenor will be responsible for all agreed upon costs from their guaranteed numbers.
Sample Dinners
Sample dinners can be provided for plated meal services only. Sample meals will be for a maximum of 8 guests and payment for sample dinners is due after the sample is complete. All additional beverages will be charged as per rack rate.
Banquet Rules & Regulations
Evolution Hall prohibits the use of any items to be fastened to any interior walls. (i.e. Staples, Heavy Tape, Tacks, Etc. )
No confetti or rice is permitted inside the building or on its grounds.
All special requests must be verified by Evolution Catering prior to the function date.
Fire candles or other open flames are not permitted in the hall. Alternative light candles are acceptable. (such as LED)
Any excess clean-up at Evolution Catering’s discretion will result in a reasonable cleaning surcharge.
There will be a performing rights license (SOCAN fee) added to all Evolution Hall events. This fee will be remitted to the Society of Composers, Authors, and Music Publishers of Canada. The cost is $64 for an event that has dancing, and $32 for events with just music. GST is to be applied to these fees.
Food & Alcohol Guidelines
Evolution Catering provides full food & beverage service.
There is to be no other food or alcohol permitted on the premises without prior consent.
Due to health & safety regulations, no food processed by our kitchen will be allowed to leave the premises.
Buffets will be available for a maximum of 1.5 hours to service your guests.
Evolution Catering reserves the right to end alcohol service prior to intoxication, as per liquor laws set out by Alberta Gaming, Liquor & Cannabis (AGLC).
Evolution Catering reserves the right to ask for identification for anyone who intends to consume alcohol, along with all other procedures set forth by AGLC.
Evolution Catering is not responsible for any patrons arriving or departing the facility. It is the responsibility of the function convener to ensure the safety for all their guests.
